Project Management Support Officer

Overview

Under the supervision of the Project Systems Manager, the Project Management Support Officer will provide effective and efficient administrative support for and monitoring of CIFOR's project management systems and databases. This will require substantial initiative and judgment, and collaboration with CIFOR staff at all levels.

Summary of responsibilities

1. Oversight and monitoring of Project Management Systems:
Work closely with the team members of the Project Management Office (PMO) to ensure accurate status updates of deliverables and reporting, including from partners and to donors in the CIFOR project management system.

Working closely with CIFOR management, scientists and support staff, oversee the compliance of project management processes with CIFOR policies and requirements.

Work closely with the Project Systems Manager in the design and implementation of project management initiatives and systems for continuous improvement of project management workflows.

Monitor the performance and flow of all project management processes and systems, ensuring efficiency and accuracy.

Take the lead in managing operational project management-related issues raised by CIFOR management, scientists and support staff.

Provide support and guidance to Research Programs' Senior Project Officers, Secretaries, Regional Administrators and Project Leaders for all project management processes.

2. Other

Analyze and report to Project Systems Manager data to inform CIFOR's performance measures such as:

  • Efficiency of meeting donor reporting timelines (monthly)
  • Staff and systems performance (turnaround time)
Provide back-up support to the Project Systems Manager as necessary, which includes reviewing all of CIFOR's institutional agreements submitted for approval in the CIFOR project management system.

Assist with other responsibilities within the Deputy Director General's office, as required.

Other duties as assigned.

Requirements

Education, knowledge and experience

Master's degree in a relevant field.

Minimum 8 years of relevant experience in project administration and management, good understanding of financial management and human resources procedures.

Excellent written and spoken English.

Strong computer skills in word processing, database and other relevant office applications.

Overview

The Communications Officer will be part of CIFOR's well-funded and far-reaching communications program. Known for its innovation, ambition and reach, CIFOR's communications program is designed to maximize the outcomes and impacts of research projects.

The Communications Officer will be instrumental in planning and running communications campaigns for specific projects, especially for research and policy uptake related to climate change and sustainable development.

The ideal candidate will have a passion for communicating scientific research, including biophysical sciences, economics, political science, social science and anthropology, among others. She/he will be a strong writer and creative planner, who enjoys finding innovative ways to make complex research findings accessible for a broad audience, especially policymakers.

Summary of Responsibilities

The Administrative Assistant

The Administrative Assistant is responsible for the day to day office operations and providing administrative support to project management. He/She will prepare regular oral and written progress reports that demonstrate the status of project activities toward expected results, as well as other reports as required. He/She will ensure that a good and professional relationship with the staff is fostered and maintained throughout the life of the project and report directly to the Project Director.

Key Responsibilities:
  • Assist with the coordination of all logistical aspects of project administration including arranging travel, processing travel clearances, visa processing, and fielding consultants
  • Fulfill office administration duties including, answering phones, photocopying, faxing, ordering supplies/workshop materials, etc
  • Maintain and stock office supplies and process supply orders from the Project Director.
  • Label and maintain all administrative files including travel clearances/itineraries, visa requests, consultant transport and lodging information, and all other non-accounting related documentation
  • Prepare reports of meetings convened or attended by project management
  • Assist project Management in hosting project visitors and arranging meeting details
  • Assist project Management in sending monthly expenditure reports and back-ups to IT Shows home office
  • Assist in logistic support for all workshops and trainings. This will include reserving workshop venues, preparing invitations, and other administrative tasks as required.
  • Fulfill other administrative functions as required
Qualifications:
  • Degree in administration or five years of administrative experience is preferred.
  • Three years administrative with large-scale international projects.
  • Excellent computer skills including: Microsoft Word, Excel, Outlook, Adobe.
  • Fluency in English and Bahasa Indonesia is required- spoken and written.
  • Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for colleagues.
  • Must be capable of working both individually and as part of a team.
  • Strong written and verbal communications skills.
  • Ability to engage in activities occurring in multiple field sites with multiple stakeholders across Indonesia.
